The Volunteer tool is a versatile one - allowing you to create unique roles and time slots for your volunteer force.
However, if your event is HEAVILY volunteer-based, you might consider treating the volunteers just like any other primary registrant type (like an attendee), with their own custom profile (click HERE for Custom Profiles article).
In fact, some event hosts will create an entirely new, dedicated event just for their volunteer registration. Read on for tactics.
SETTING UP STANDARD VOLUNTEER SIGN-UP
Let's jump back to our Volunteer Sign-Up tool - in a lot of cases, you'll be able to us our standard volunteer sign-up tool for your event. It is an excellent tool and provides some versatility in how you set things up.
CREATE VOLUNTEER JOBS
The first step is to activate volunteer sign-up. Head over to the Registration section of the Event Builder, then click Quick Volunteer Sign-Up on the lefthand menu.
To start, create a name for your job. Then, select a date range for your job. Click CREATE JOB.
Notice how the tool, like the Agenda Manager, automatically creates individual days for the date range you pick. Each day is under the job you designate - in this case, I created a "Tent Setup" position that lasts from the 1st to the 2nd of December.
For each day, use the drop down menus to designate how many volunteer slots you want to offer for each time range you designate throughout that particular day. Use the CREATE button to confirm your slots after toggling the drop downs.
Let's say I need 2 volunteers for the "Tent Setup" job on Friday, between 8:00am and 10:00pm. First, change your time dropdown to 8:00am. Then, select 2 Volunteers from the next dropdown. Finally, choose the duration from the last dropdown menu. Click CREATE.
Bam! Your two jobs have been created. You can edit their time durations afterward if you need (using the small pencil icon next to the time ranges). Use the red X icon at the far right to delete the slot. Use the green + icon at the far right to manually add a person to this slot (rather than having them register).
Once you have completed configuring all of your volunteer jobs and slots, scroll to the top of the page and click the large Activation switch at the top right.
Now that you've added your volunteer jobs and slots, it's time for volunteers to register. Check it out - your event website now has a designated Volunteers button on the main menu - click into it and you'll see your slots available for the takin'!
All they need to do is click the big blue bar next to their desired slot, enter a few basic pieces of information (i.e. phone and email) and they're all set to volunteer.
CREATE AN IN-DEPTH VOLUNTEER REGISTRATION EXPERIENCE
First, let's imagine a couple potential scenarios that would require you to setup a dedicated event for just the volunteers, so you can get the feel for why you'd do this:
- You need information from your volunteers
- There are a number of activities and/or positions that volunteers can participate in
- Your event is entirely volunteer based
EVENT FORWARDING OPTION
The idea behind the "forwarding method" is to create a dedicated volunteer sign-up event, then have a button on your main registration website that links to volunteers to the dedicated volunteer sign-up site.
If you don't have a parent/main event, then all you have to do is create a dedicated volunteer event and skip the forwarding step in this process.
CREATE A VOLUNTEER-FOCUSED EVENT
Whether or not you're using event forwarding, the first step in the process of producing a volunteer-focused event is to....well....create the event!
Use a combination of registration items, prompts and other elements to achieve the look and experience you desire.
Now you have your dedicated volunteer event setup. Again,if you have a parent/main event setup for attendee registration and need to forward volunteers that visit this page initially to the dedicated volunteer sign up, you will now want to setup the Forwarding mechanism.
Head over to the WEBSITE section of the Event Builder, (on the MAIN/PARENT EVENT!! Not the volunteer event), and click on the Forwarding Options button on the lefthand menu.
You have 2 options for forwarding:
- 1) Generate a button: setup a custom button that links to your other event
- 2) Setup auto-forwarding (not recommended in this case): automatically redirect visitors to your main event page or a custom URL
