Eventsquid allows you to create multiple schedules (e.g. a Master Agenda or a Workshop Agenda, etc) for your event. With our Schedule Manager, building an schedule is easy. Either create activities on your agenda from scratch using our tool, or add in activities that are associated with your registration items - it's a streamlined process and will come in handy!
Once you've built your schedule(s), it will appear nice and clean on your final event website (both on mobile and desktop).
NOTE: We provide you the ability to give attendees the option to download your own printable schedule (say a pdf that you already have created). The button for attendees to download it appears in the upper righthand corner of the agenda page, once you've added it. To add it, head over to the Link to Printable Agenda menu option on the right side, under Options & Links (within the WEBSITE section of the Event Builder).
CREATE AN AGENDA
To start, you'll need to create an agenda. Click the button + CREATE NEW AGENDA. You'll be prompted to pick a date range for the agenda and an optional title (not really needed if you only have one agenda).
You'll see that the system automatically creates a block for each day within your agenda date range. In the example below, we have 3 days in our range.
Each day as a button CREATE TIME SLOTS FOR THIS DAY. This is how you create activities within each day, for your agenda.
ADDING AGENDA ACTIVITIES
Freeform agenda items are those activities created in the Agenda Manager tool. The other method by which you can create activities for your agenda is by dropping in your registration items you already created in the builder and associating them with times - we'll cover that method later on in this article.
CREATE AGENDA ACTIVITY TIMES
You'll start by clicking the CREATE TIME SLOTS FOR THIS DAY button on the particular day you're building. Our activity creator let's you create 1 or more activities at a time. Let's say I wanted to create 3 activities, each with a 3 hour window.
First, I'm going to click CREATE TIME SLOTS FOR THIS DAY. Then, I'll pick my time range, from 7am - 10am. Then, I'll use the activity dropdown to select 3 activities, which tells the system to create 3 activities with this given time range.
Click + CREATE and your slots will be created.
EDIT YOUR ACTIVITIES
Now that you've populated your agenda with activities, it's time to edit your activities. You'll see the following type of box has been created for each of your activities, with a number of options:
You can add an activity description and title here. You may format your text and add links as well. Click Save Text when you're finished. You can also adjust the timing of your slot in the upper left of the dialogue box.
Notice the radio buttons that offer a selection of either "Standard" or "Break/Meal". A break is treated differently in the system and shows up on your calendar as a break in the agenda for all attendees. Many of our event planners find these helpful when planning large lunch gatherings.
For many simple events, these settings will be enough to build your agenda. For more complex events that need more customization, click into Advanced Settings. Let's take a deeper look.
ADVANCED AGENDA ACTIVITY SETTINGS
For those of you who have used our older version of Eventsquid...you will appreciate this! We used to have a button that read "More Settings", which pulled down a menu with extra options for customizing your agenda items. Now, we have a whole separate area to edit your agenda items that's cleaner, organized and very accessible with a quick scroll through your entire agenda.
When you click into Advanced Settings, you'll see the following screen below - each of your activity slots are still broken out into their own individual boxes. You have day blocks (dark grey) that organize everything by day, your text editor and your times in the upper left. Take a look:
In addition to your basic activity slot settings, you'll notice 3 additional key options in the Advanced Settings view, for each slot:
- Add a speaker to the slot
- Assign a track color to your slot
- Give the slot a room location / venue

ADDING TIME-BASED REGISTRATION ITEMS TO YOUR AGENDA
Let's say you have already created your registration items and want to base your agenda off of those items, without manually re-adding them into the Agenda Manager - you can do that here!
Click "Drop Time-Based Registration Items into Agenda". Set the dates and times for your registration items.
You'll see the title of your registration item (which you already created in the items section of the Event Builder) in bolded orange font. Below it are options to assign it a specified time and location.
TIP: Only set dates and times for registration items where they are meaningful. For example, Lunch and Education Session A are great items to have a date and time. "Super Fun Conference Tickets" is not an item you'd want to set a date/time for.
Once the date and time is set, select the Agenda you want to add the activity to (using the dropdown - if your agenda doesn't have a name, you can still select it). Then, click Update Agenda. This will add the registration item to your agenda and you're good to go!
Additionally, the use of date/time with a registration item will create an itinerary for your registrants.
PUBLISH YOUR AGENDA
Once your agenda is set, publish it so it will show on your event website. Use the switch at the top of the agenda manager, switch it on and your agenda will be published on your event website.
