Cancelling an event is no fun. Nonetheless, most of us event hosts encounter this difficult situation. In order to effectively cancel an event in the system, you will want to follow these guidelines below to ensure the process runs smoothly.
CANCEL YOUR EVENT
COMMUNICATE
- The first step in any cancellation is communication with your registrants - communication is key! Use the communications center to alert registrants of the cancellation:
- Go to your dashboard
- Click COMMUNICATION CENTER
- Create a notice to all registered attendees of your event notifying them of the cancellation
FULL CANCEL?
- Are you cancelling with no plans to reschedule?
- If you're fully cancelling the event with no reschedule, you will need to refund your registrants after notifying them of the cancellation. See our help article on issuing refunds and other accounting adjustments here for additional guidance.
- Next, you can simply archive the event (yet still keep your registrants on your dashboard, for record-keeping. This also allows you to re-market to those past registrants)
- To archive, click the three-dot menu on the far right of your event (from the dashboard) and click to archive the event
OTHER STEPS
If you plan to reschedule your event ultimately, follow these next steps (disregarding the FULL CANCEL step above).
TURN OFF REGISTRATION
- Turn off registration
- Go to your Event Builder
- Click REGISTRATION SETTINGS in the top right
- Scroll to the bottom and turn off registration
PUBLISHED?
- If you use one of our vertical sites (i.e. ArcheryEvents.com), you might want to un-publish your event for now. You can always re-publish at a later point.
- Go to your dashboard
- Click the three-dot menu on the far right side of your event
- Click Unpublish
MOVE THE EVENT DATE
- If you do plan to reschedule, make sure you switch your event date as soon as possible, to avoid confusion among registrants. (I would include this in the notice you send to your registrants through the Communication Center.)
- Go to your Event Builder
- Click WEBSITE >> then click Basic Event Information
- Change the dates of your event (if you wish to do this)
