Welcome to Eventsquid! We're very excited to have you a part of our growing team of planners.
We understand it can feel overwhelming to begin learning a brand new software. You'll have to incorporate our system into your current ways of doing things and that can be stressful.
Thankfully, we built this system with you in mind. Our goal is to make this transition as seamless and painless as possible. We want you to take the reins and find confidence and empowerment within your event planning process.
Take a look below and watch the introduction video, this will help you get your bearings in the system. Then, read on for a few more tips.
Once you're through, go ahead and start exploring the system! Remember, the more time you're able to spend in the tool experimenting, the faster your learning process will be.
INTRODUCTION VIDEO
GETTING STARTED
THE DASHBOARD
After watching the above video, you'll have a better idea of how to navigate the key sections of the platform.
Try accessing the MANAGE ORGANIZATION tab. From this area, you can setup your organization:
- Add authorized users to your roster
- In Profile Setup, add an organization mailing address
- Upload an organization logo
- Connect a credit processing account
THE BUILDER
On the Event Dashboard, create a new event. Then, enter the EVENT BUILDER.
Across the top, you will notice each major section of the Builder (just like the dashboard....except now we are inside of the Event Builder tool).
Within each section, you have a tool belt of options on the left. The ACTIVATE REGISTRATION tab at the far right is your event power switch. In this section, you will:
- Set open/close dates for registration
- Allow/disallow registrants from modifying their registration at a later date
- Enable/disable third party registration options
- ACTIVATE REGISTRATION!! (go figure...)
- Govern the ways in which you would like your registrants to pay
At the top right, checkout the EYEBALL and CHAIN LINK icons. The EYEBALL opens a preview of your event website in a new tab. This is phenomenal for testing....
QUICK TIP: keep a tab open in your browser with the preview of your site. As you make changes in the Builder, simply click back into your preview tab and refresh the page. You'll see your event website come to life before you eyes.
The CHAIN LINK icon will link you to a page within the Builder that contains all links to your event. On this page, you can grab the URL directly to your event page, or to your mobile app....there are even links directly to your registration forms!
QUICK TIP: some clients like to grab these links and use them within digital marketing campaigns on other platforms (like Facebook). We even see clients grab links to their registration form(s) and use them on their custom websites (i.e. they have buttons on their own site that they link to their forms).
Get yourself acquainted with the different tool belts and sections in the Builder. Don't by shy! Seriously, you'll thank yourself later. Just start clicking..
NEXT STEPS
Although event setup techniques can vary largely from event to event, there is a general process flow you can follow with every event you create in the system.
That said, there is a general workflow you can follow and that's what I intend to teach you. A framework, if you will, for how to THINK about structuring and building your event in our system.
The first step is getting started. Jump into the EVENT BASICS tab of the Builder and start filling out the easy stuff...
- Name your event and put a date/time on it
- Add a description and some keywords for SEO
- Create an event location
QUICK TIP: Want to password-protect your set or set an overall event capacity limit? Do it in the Basic Event Information tool in the EVENT BASICS tab.
CONSTRUCTING REGISTRATION
Beyond the basic details, the first step in the event setup process should be to consider your registration structure. Setting up the registration structure is the most important piece to your event, as it is responsible for capturing attendee data and registration revenue.
Take a look below - we included links to two separate registration tutorials. They use example events to walk you through registration setup techniques:
That's all for now. You can read up on the specific functions and tools offered in our system by visiting our other help file categories (these are more technical in nature).
We are constantly evolving and growing, so keep coming back to see what new tutorials we've added (we have a lot in the pipeline).
And remember! If you have any specific requests, email us at support@eventsquid.com, we're always happy to assist.
