INTRO TO LEAD SCANNING
Lead scanning allows attendees to scan anyone's badge and instantly store their contact information. There is no extra hardware involved; attendees can use their phone's native camera application or a free, downloadable QR scanning application. Have a look at this video to understand how it works.
HOW DOES IT WORK?
Every badge that comes from our system will display a QR code. If you are using ConferenceBadge or another badge-making program, make sure you check out THIS help article, which walks you through all of the necessary steps.
Every lead you capture through QR scanning is stored in the mobile app. When logged in to the mobile app, tap the main menu icon (bottom left of the screen). In the main menu, you'll see an option to access your scanned leads, called "Scan & Retrieve Leads".
From here, you can view your leads and email yourself a spreadsheet of these leads.
ACTIVATING & USING LEAD SCANNING
EVENT BUILDER ACTIVATION SWITCH
The first step to activating lead scanning is to activate the feature for your event, within the Event Builder. Simply enter the Builder and click the MOBILE APP tab at the top. You'll see a switch at the top of the page called Activate mobile lead/contact scanning for all attendees.
SCANNING TECHNOLOGY
The first time you login to the mobile app for your event, open up the main menu and tap the "Scan & Retrieve Leads" option. You'll see a rundown of:
- Instructions teaching attendees how to use this function
- The confirmation number for the event, which will be needed if using a third-party QR scanning app
- 2 links to recommended third-party scanning apps
This page is an excellent guide for attendees accessing your app for the first time. They can read about the lead scanning function right here in the app.
Once the attendee decides what scanning app to use (i.e. native camera application or third party application), they can begin capturing contacts at the event by scanning other peoples' QR codes.
Try scanning a badge from a test registration or past event (this won't notify the other attendee or anything, so feel free to test this).
After scanning the badge, the app will expose you to a screen with two blocks: CHECK-IN and LEAD SCANNING.
The CHECK-IN block is for admins only (clicking this will request that you enter your admin user ID associated with your Eventsquid account). Tap LEAD SCANNING and you will be asked to enter your confirmation number.
When using a third-party scanning application, you will need to identify yourself. This is because the third-party application will open our Eventsquid app within their application's browser, which is why our software requests the confirmation number for identification.
QUICK TIP: Once again, if you lost your confirmation number (which is sent to you in your confirmation email), you can easily retrieve this in the mobile app. Tap the main menu icon, then tap the Lead Retrieval menu option. You'll see your confirmation number at the bottom of the page.
Once confirmed, your brand new lead that you just scanned is now captured. Go back to the mobile app in your phone's native internet browser, tap the main menu icon, then tap the Lead Retrieval option. You'll see your lead. You should also see a way to EXPORT LIST. Clicking this will prompt our system to send you an email with a spreadsheet of all your leads attached.
QUICK TIP: If you ever get stuck or forget your confirmation number, click the SHOW INSTRUCTIONS button within the Lead Retrieval page (in the mobile app). The instructions page will pop back up. Click the small "x" icon in the upper right to close this page again.
Now try following the exact same scanning process described above, but using your phone's pre-installed camera application. Just open your phone's camera and then focus it on a QR code - hold it there for just a bit. You should see a notification appear on your screen, prompting you to click through to the mobile app on your phone's internet browser.
The benefit of using your phone's native camera is that if you're already logged in to the mobile app on your phone's browser, you won't have to re-enter your confirmation number to confirm who you are. In this case you aren't using a third-party application's internet browser.
If possible, it is recommended that you leverage your own phone's technology for quick and easy scanning.
