We've all been there...CONFERENCES. And there is one thing we can't stand in this digital age of innovation....Physical. Business. Cards
You're on a roll, networking like a true squid, making connections and even friends. Before you know it, you're back in your hotel room looking at a lopsided stack of nasty business cards. They have frayed corners, a nasty yellowish tint on the edges from sitting in someone's pocket too long and they make an awful sound when they're rubbed together....OK maybe that last one is just me.
Anyways, why are we here? Time to let go of business cards and start scanning. You have a high-powered computer in your pocket (aka your PHONE) - why not use it?!
WHAT IS IT?
Lead scanning allows attendees to scan anyone's badge and instantly store their contact information.
HOW DOES IT WORK?
Every badge that comes from our system will display a QR code. If you are using ConferenceBadge or another badge-making program, make sure you check out THIS help article, which walks you through all of the necessary steps.
OK - now picture it. You're walking around the conference and you make a connection. Now it's time to get serious. You pull out your phone and scan the person's badge. Once scanned, your smart phone will take you to our mobile app, where you can access the lead scanning function.
Every lead you capture through QR scanning is stored in the mobile app. When logged in to the mobile app, tap the main menu icon (bottom left of the screen). In the main menu, you'll see an option to access your scanned leads, called "Scan & Retrieve Leads".
From here, you can view your leads and email yourself a spreadsheet of these leads. KABAM!
ACTIVATING & USING LEAD SCANNING
The first step to activating lead scanning is to activate the feature for your event, within the Event Builder. Simply enter the Builder and click the MOBILE APP tab at the top. You'll see a switch at the top of the page called "Activate mobile lead/contact scanning for all attendees".
And that's it folks! The lead scanning is ready to go.
The first time you login to the mobile app for your event, open up the main menu and tap the "Scan & Retrieve Leads" option. You'll see a rundown of:
- Instructions teaching attendees how to use this function
- The confirmation number for the event, which will be needed if using a third-party QR scanning app
- 2 links to recommended third-party scanning apps
This page is an excellent guide for attendees accessing your app for the first time. They can read about the lead scanning function right here in the app.
OK - so step 1 to this process is clearly to register. Now, we can a way to scan other registrants' badges. Using a third-party app is one way to do this - give it a shot and download one of the recommended applications.
1) THIRD-PARTY SCANNER
Try scanning a badge from a test registration or past event (this won't notify the other attendee or anything, so test away). When using a third-party scanning application, you will need to identify yourself. This is because the third-party application will open our Eventsquid app within their application's browser; thus, our app will need your confirmation number to identify you as a registrant.
After scanning the badge, the app will expose you to a screen with two blocks: CHECK-IN and LEAD SCANNING.
The CHECK-IN block is for admins only (clicking this will request that you enter your admin user ID associated with your Eventsquid account). Tap LEAD SCANNING and you will be asked to enter your confirmation number.
QUICK TIP: Once again, if you lost your confirmation number (which is sent to you in your confirmation email), you can easily retrieve this in the mobile app. Tap the main menu icon, then tap the Lead Retrieval menu option. You'll see your confirmation number at the bottom of the page.
Once confirmed, behold! Your brand new lead that you just scanned is now preserved. Hop back over to the mobile app in your phone's internet browser, tap the main menu icon, then tap the Lead Retrieval option. You'll see your lead in there. You should also see a way to EXPORT LIST. Clicking this will prompt our system to send you an email with a spreadsheet attached.
QUICK TIP: If you ever get stuck or forget your confirmation number, click the SHOW INSTRUCTIONS button within the Lead Retrieval page (in the mobile app). The instructions page will pop back up. Click the small "x" icon in the upper right to close this page again.
2) NATIVE SMART PHONE CAMERA
Now we are about to get fancy....odds are, if you have a relatively new smart phone, your native camera can scan QR codes. WHAT??!!
Check it out - try following the exact same scanning process described above. Just open your phone's camera and then focus it on a QR code...hold it there for just a bit. You should see a push notification appear on your screen, prompting you to click through to the mobile app.
The beauty of using your phone's native camera is that if you're already logged in to the mobile app on your phone's browser, you won't have to re-enter your confirmation number to confirm who you are. In this case you aren't using a third-party application's internet browser...your phone's camera is just taking you right back to your native browser!
Clearly, it is recommended that you leverage your own phone's technology for quick and easy scanning; however, if your phone is incapable, then you need to use a third-party app.
That's all for now folks! Happy scanning!
