ASSIGN REGISTRATION TO SOMEONE ELSE
There will come a point when you need to replace an existing registration with someone that is not registered.
For example, let's say a registrant can longer attend your trade show. Their colleague would like to replace them at the convention. The company has already paid for the initial registration and would now like to send the replacement instead.
REGISTERED ATTENDEES LIST
First, navigate to the Event Dashboard and click on the name of your event. Then, click the green Registered Attendees button. Locate the existing registrant that must be replaced and click on their name. This will open the Registrant Details Panel.
Then, click the PERSONAL PROFILE tab on the left side. On this page, you'll see a link towards the top (right underneath the personal information section) called ASSIGN REGISTRATION TO ANOTHER PERSON.
When clicked, the system will request you enter the email address of the replacement registrant. From this point, there are two possible pathways you may encounter.
SUCCESSFUL REPLACEMENT
If successful, the new registrant will replace the original attendee. All event-specific prompt data, the financial balance and registration selections (items) will be transferred to the replacement attendee.
If the replacement happens to have an existing Eventsquid account, then their personal information will NOT be replaced, nor will any global prompt data they have submitted in the past (i.e. any prompt data that is shared across multiple events).
Any uploaded documents will also NOT be transferred from the original attendee to the replacement; uploads will stay tied to the original registrant's Eventsquid account.
UNSUCCESSFUL REPLACEMENT
If the replacement is blocked, it means that the replacement registrant has already attempted to register for this event. In that case, their incomplete registration attempt can be located in the INCOMPLETE registrations list and brought over to the completed registrations list.
To access the Incomplete list, simply click the red INCOMPLETE button (right next to the green Registered Attendees button) underneath the event title, on the Dashboard. From here, you can click the green REGISTER button to the right of their name to register this person for the event.
In a rare scenario, this replacement registrant was previously registered, deleted and now meant to be registered in place of the prior attendee in question. If that is the case, simply access the Incomplete registrations list as before, then click the ADMIN CANCELLED radio button filter in the upper right corner of the Incomplete registrations window. Then, click the REGISTER button to the right of their name.
At this point, the remaining steps include:
- 1) Remove Original Attendee: you can either click the CANCEL button or delete the registrant entirely from the Dashboard
- 2) Settle Financials: use the ADJUST ACCOUNT button in the Registrant Details Panel to make financial adjustments to the prior and replacement attendee records
