With Eventsquid's Table Assigner utility, you can develop a custom seating chart for your event. Click & drag and direct assignment tools enable you with a quick method of pointing registrants into the appropriate seats.
CREATE A NEW SETUP
Click the NEW SETUP button at the top of the Table Assigner to create a new seating structure.
In this window, you can customize the number of total tables and the number of seats per table. You'll also notice the ability to modify the name of each table.
You can always come back to modify these settings, as well as dynamically add seats to any table during the assignment process by clicking the yellow SETTINGS button.
HOW TO ASSIGN SEATS
OVERVIEW OF INTERFACE
The Table Assigner is split into three distinct sections:
1) FILTERS
The FILTERS section is used to summon a desired subset of your registrants based on any parameters you set. Once filters are applied to your registrant list, eligible registrants that fit those parameters will appear in the ASSIGN list to the right. You can filter your registrant list based on:
- Custom Profile
- Registration Item(s) selected
- Custom Prompt answer(s) (can ONLY use multiple choice prompts for filtering)
You can also search for a specific registrant by name or company with the search box at the top of the section.
When ready, click the apply filters button. The results will appear in the ASSIGN column to the right. Click CLEAR button to erase all filtering.
2) ASSIGN
The ASSIGN section shows all registered attendees for your event. If any filters have been applied in the section on the left, eligible registrants will present in the ASSIGN list.
If you have assigned a registrant to a table/seat and they have since been cancelled, you will see a red CANCELLED button at the top of the ASSIGN section. Click to see all cancelled registrants and their assigned table.
Click the DETAILS button next to any registrant in the ASSIGN list to see their full registration record.
Click and drag a registrant in the ASSIGN list to an open seat on the right. If there are no open seats, you will have to locate a table with an open seat before dragging over to the right.
You can also assign multiple registrants to a table at one time. Check the box next to each registrant you would like to move, then click the ADD SELECTED TO TABLE button at the bottom of the ASSIGN list. All registrants will be placed in a seat within the table on the right.
If more registrants are selected than there are seats available in the current table on the right, the table will NOT be overfilled. Instead, the registrants over capacity will remain in the ASSIGN list, at which point you may use the section on the right to navigate to a new table that has open seating.
3) TABLE ASSIGNMENTS
On the right side, you can navigate between your active tables in the setup. Use the arrows to move consecutively between tables; use the dropdown at the top to pick a specific table. When a table is summoned, you can move registrants from the ASSIGN list into its available seats.
Click and drag registrants within a table to reposition them.
Click on a currently assigned registrant - you can remove them or move them to a specific seat at a different table.
After making any changes to your table configuration, click the SAVE button in the upper left portion of the tool.
DATA & COMMUNICATIONS
You can access your table assignment data with an Excel report right from the Table Assigner tool. You will also see your table assignment data in a few other useful places.
Click the Export button in the top right corner of the Table Assigner to export your table setup to Excel.
COMMUNICATION CENTER
The Communication Center allows you to filter registrants based on which configuration they are assigned. If you decide to filter your email send list based on a table configuration you created, folks that are not assigned to a table in that configuration won't be included in the email list.
On the right side of the Communication Center, within the CONTENT BLOCKS area, you can add an option to display to each recipient which table they are assigned to.
SMS messages also allow you to include each recipient's table assignment within the message.
MOBILE APP CHECK-IN
Within the mobile check-in feature for admins, each attendee's profile will display the table to which they are assigned. Once the attendee's QR code is scanned, or after the registrant's name is searched for and tapped, the admin will see the attendee's profile on their mobile device.
From there, the table assignment will display.
